Respected President & Secretary,
After going through the circulated minutes of the October Board Meeting as 'corrected', I found quite a few missing points, which we discussed, and decisions were taken thereof. We are aware that minutes should reflect all important issues that transpired at the meeting and decisions taken thereof.
While only in the case of 'Confirmation of Minutes', the mention of the proposer (wrongly mentioned as 'approved by'), and seconder are mentioned, which has not been followed in the rest of the agenda reporting. Further, in such an event the text to be presented differently – the format was circulated in my last month's letter.
I am forwarding the proposed rectified minutes, where underlined portions are to be inserted and portions blocked by colour to be deleted, which is self-explanatory, to make it truly correct.
Being under the period of mourning, I shall not be able to attend the Board Meeting today. I am, therefore, forwarding this letter with attachments for the information of all Board members for necessary modification/implementation.

Congratulations for finally being able to circulate the minutes of the meeting held about a month back. Though I was not present at the meeting, certain apparent disparities could be observed, which may please be rectified/corrected.
As mentioned in item 3, it was not the 'Second' but 'Third' Board Meeting of the year. Lion Dilip Passari having sought and granted leave of absence, how could he submit the report at the meeting, as stated under 9 (i)? Under 9 (iii) blood Donation Chairman reported 219 blood units collection during September 2021, whereas in Secretary's report the figure is stated as 291? Which one is correct? The list of mentioned activities by the Secretary belong to varieties of activities, hence, the sentence should end after the word 'organization' and a new sentence 'Few of the major activities undertaken are as under' may be inserted thereafter, for a proper meaning.
Under point 4, though in the matter it is stated that 'the same was unanimously approved by the board' the words (Approved by Lion Pravin Chharia and seconded by Lion Ashok Mehta) are out of place. It could at best be mentioned as 'After the minutes of the last board meeting for the month of August 2021 were presented before the board members a motion was moved by Lion Pravin Chharia and seconded by Lion Ashok Mehta 'resolved that the minutes as presented be confirmed and be recorded as approved at this meeting' and the same was unanimously carried by the board. However, we do not follow this system of resolution in all regular matters.
I avail this opportunity to draw your attention to my earlier letter to the President under copy to the finance Committee chair and Co-Chair on discrepancies in 'Budget estimation', which though accepted but not rectified yet.
Further, in the September 2021 Adm. Accounts Rs. 9100/- have been shown as collected and Rs. 9200/- shown as paid to Hospital but I could not find any corresponding receipt entry in Club Service A/c?
I also have a query and had raised previously that I find no reflection on expenditures incurred on Annapurna Bhojan Seva (Food for Hunger) in Activity Accounts though as per activity report, thousands of persons are being served regularly with cooked foods each month! We are surely reporting to the International all these as our activities and incurring no financial cost!
We need to rectify this practice.
Hope, we can discuss these matters at today's meeting and come to a conclusion.
